Data Deletion Instructions

If you have a Vaion account, you can complete both operations yourself, without contacting us:

• Disconnect a Meta account: sign in, open Channels in the left sidebar, then press Disconnect next to the connected Facebook Page, Instagram Business account or WhatsApp Business number. The stored authorization for that channel is deleted immediately and Vaion stops receiving new messages from it.
• Delete your account and all its data: sign in, open Profile, scroll to the account section and press Delete account, then confirm. This permanently removes your account, your business data and the conversations stored in Vaion. You can press Export my data on the same page first if you want a copy.

If you cannot access the dashboard, send a deletion request to the data controller:

Use the subject: Data Deletion Request - Vaion

• Your full name
• Your business name, if applicable
• The email address used for your Vaion account
• The Facebook Page, Instagram Business account or WhatsApp Business number connected to Vaion, if applicable
• Whether you want to delete the whole account or only the data linked to the Meta integrations

Deletions performed from the dashboard are immediate. For email requests, we verify account ownership and delete the associated data from our systems within 30 days, unless we are required to retain certain information for legal, security or fraud-prevention reasons.

• Account profile information (name, email, phone, business details)
• Connected Meta account identifiers (Facebook Page ID, Instagram Business ID, WhatsApp Business identifiers)
• Technical authorizations stored to keep the authorized integration active
• Messages and conversations received from Facebook, Instagram and WhatsApp and stored in the Vaion Inbox, including sender name/username, profile picture where available and conversation timestamps
• Bookings, calendar appointments, quotes and customer records created in Vaion
• Business settings, automations and AI configuration data

If you connected Vaion through Facebook, Instagram or WhatsApp, you can also remove Vaion's access directly from your Meta account settings:

• Facebook — Apps and Websites
• Instagram — Apps and Websites
• WhatsApp Business — Business Integrations

Removing access from Meta stops the connection. To also delete the messages already stored in Vaion, use one of the two options above.

In some cases we may need to retain certain data for longer than 30 days to comply with legal obligations (for example accounting and tax records), resolve disputes, prevent fraud or enforce our agreements.
